Our Platform & Data Roles
Public Market Intelligence: Browsing our public rental directory, building profiles, neighbourhood trends, and automated rent estimates does not require registration or submission of personal documents.
Document Analysis Tools: When registered clients upload leasing documentation for verification, FastScreen operates as a Data Processor (or Service Provider). We provide document structure and fraud detection analysis at the instruction of the client (the Landlord or Property Manager), who acts as the Data Controller responsible for obtaining necessary applicant consents.
1. Information We Collect
We collect information in the following categories:
A. Website Usage & Technical Data
When you browse FastScreen, our servers automatically log standard technical data, such as your IP address, browser type, device characteristics, operating system, referral URLs, and pages viewed, to maintain platform security, monitor server performance, and enhance user experience.
B. Client Account Information
When landlords or property managers register for an account, we collect:
- Contact details (name and email address).
- Billing and subscription details (processed directly and securely through our PCI-compliant payment processor, Stripe; FastScreen does not store full credit card numbers).
- Security logs and authentication session tokens.
C. User-Uploaded Documentation
To use our automated document analysis tools, clients may choose to upload applicant documentation, including identity cards, income statements, pay stubs, tax records (e.g. T4/NOA), or tenancy applications. We process this documentation strictly at the direction of the client.
2. How We Use Information
- To deliver, maintain, and optimize our rental analytics directories and document analysis software.
- To extract and verify data points requested by the client (such as income calculations and tampering detection).
- To authenticate user sessions, prevent platform abuse, and maintain infrastructure security.
- To process billing transactions and send account receipts.
Artificial Intelligence & Privacy Safeguards
When document text is processed via enterprise cloud AI services (such as Google Cloud Vertex AI), data is processed under enterprise confidentiality terms. Uploaded user documents and personal information are NOT used to train public or commercial AI models.
3. What We Do NOT Do
- We do NOT sell personal data or applicant records to third-party data brokers or marketing lists.
- We do NOT issue credit scores or automated tenant approval/denial determinations.
- We do NOT perform invasive cross-device tracking or biometric surveillance.
4. Client Consent Warranties
Clients uploading third-party documents warrant that they have obtained appropriate written consent in accordance with applicable privacy legislation (including Canada's Personal Information Protection and Electronic Documents Act - PIPEDA) prior to submitting files for verification.
5. Data Retention & Minimization
We follow data minimization principles. Uploaded documents and generated analysis summaries are retained only for an active 30-day window to allow clients to download their reports, after which files are systematically scheduled for secure deletion from active storage.
6. Third-Party Advertising & Cookie Policy
FastScreen displays advertising to support free public access to our GTA rental market data and building comp directories. We partner with third-party vendors, including Google, to serve advertisements when you visit our website.
