FastScreen ("we," "us," or "our") is committed to protecting the privacy of our users ("Clients" or "Landlords") and the data they entrust to us regarding their prospective tenants ("Applicants").
This Privacy Policy outlines how we collect, use, disclose, and safeguard information. By using our services, you agree to the collection and use of information in accordance with this policy.
Important Note on Our Role
FastScreen operates as a Data Processor (or Service Provider). We provide a document analysis and fraud detection tool. We do not act as a Landlord, Property Manager, or Consumer Reporting Agency. The Client (Landlord) acts as the Data Controller and is responsible for obtaining all necessary consents from Applicants before uploading documents to our platform.
1. Information We Collect
We collect information in two categories: Client Account Data (information about you, the Landlord) and Applicant Documentation (information you upload about tenants).
A. Client Account Data
When you register for an account, we collect:
- Name and contact information (email address).
- Billing information (processed securely via our third-party payment processor, Stripe).
- Usage logs and technical data (IP address, browser type) to ensure platform security.
B. Applicant Documentation
To provide our analysis service, Clients upload documents belonging to Applicants. We process the following types of data only at the instruction of the Client:
- Identity Documents: Government-issued IDs (Driver’s Licenses, Passports) for consistency checks.
- Financial Documents: Pay stubs, tax forms (e.g., T4/T1, W-2/1040), Notices of Assessment (NOA), and bank statements.
- Leasing Documents: Offers to Lease, Rental Applications, and Realtor correspondence.
- Reference Materials: Letters from employers or previous landlords.
2. How We Use Information
A. To Provide the Service
We use the uploaded Applicant Documentation strictly to:
- Extract text and financial data (OCR).
- Perform mathematical verification (e.g., verifying income totals).
- Analyze document metadata to detect signs of digital tampering or fraud.
- Generate a summary report for the Client.
B. AI & Machine Learning Policy
We utilize enterprise-grade Artificial Intelligence (Google Cloud Vertex AI) to process documents.
- No Training on User Data: We utilize a paid, enterprise API agreement which ensures that your data and uploaded documents are NOT used to train public AI models.
- Data Isolation: Data processed by our AI is transient and isolated; it is not shared with the general public or other clients.
C. What We Do NOT Do
- We do not provide "Approve" or "Deny" recommendations.
- We do not generate proprietary "Credit Scores" or "Tenant Risk Scores."
- We do not sell Applicant Data to third-party data brokers or advertisers.
3. Consent and Landlord Obligations
As the Data Controller, the Client (Landlord) warrants and represents that:
- They have obtained explicit, written consent from the Applicant to collect their documents and share them with a third-party service provider (FastScreen) for the purpose of verification and analysis.
- They are compliant with all applicable privacy laws (including PIPEDA in Canada and various state laws in the US) regarding the collection and processing of tenant information.
FastScreen assumes no liability for documents uploaded without proper consent. If we are notified that a Client has uploaded data without consent, we reserve the right to terminate the account and delete the data immediately.
4. Data Retention (Transient Processing)
We design our systems to minimize data retention.
- Processing Period: Uploaded documents are processed immediately.
- Retention Window: Source documents and generated reports are retained for 30 days to allow the Client to download their report.
- Deletion: After the retention window expires, specific Applicant documents and reports are permanently deleted from our active servers. It is the Client's responsibility to download and save any reports they require for their own records.
5. Disclosure of Information
We may share information with third-party vendors ("Sub-processors") solely for the purpose of operating our service:
- Cloud Infrastructure: Google Cloud Platform (for secure hosting and AI processing).
- Payment Processing: Stripe (for billing).
Cross-Border Data Transfers:
Some of our service providers (including Google Cloud) may store or process data on servers located outside of your jurisdiction (specifically in the United States). By using our service, you acknowledge and consent to this transfer. While data is in another jurisdiction, it is subject to the local laws of that jurisdiction.
6. Data Security
We implement industry-standard security measures to protect data, including:
- Encryption: Data is encrypted in transit (TLS/SSL) and at rest (AES-256).
- Access Control: Strict limitations on who can access our infrastructure.
- Vendor Vetting: We only partner with SOC2/ISO-compliant infrastructure providers.
However, no method of transmission over the Internet is 100% secure. We cannot guarantee absolute security.
7. Accuracy and Individual Access
For Applicants (Tenants):
Because FastScreen acts as a Service Provider to the Landlord, we do not have a direct relationship with the Applicant. We do not control the decision-making process regarding your tenancy application.
Access & Correction: If you are an Applicant and wish to access, correct, or delete the data held about you, please contact the Landlord/Property Manager to whom you submitted your application. We will assist the Landlord in fulfilling these requests as required by law.
Disputes: If you believe a report generated by our tool contains a mathematical error or scanning inaccuracy, please inform the Landlord so they may review the original documents manually.
8. Changes to This Policy
We may update this Privacy Policy from time to time to reflect changes in our practices or legal requirements. We will notify you of any material changes by posting the new policy on this page with an updated "Effective Date."
